The University of Toronto (the University) has been using remote proctoring platforms, such as Proctortrack for several years.
Proctortrack has been carefully assessed by the University and complies with privacy and security requirements and policies governing student data. It has been audited by our information technology security team to comply with the requirements of the Freedom of Information and Protection of Privacy Act (FIPPA). The University of Toronto has a contract (the Contract) with ProctorTrack®’ parent company Verificient Technologies Inc that protects the privacy and security of data collected through use of the application (including all video and audio recordings) in keeping with these requirements. The End User Privacy Statement confirmed in the University’s contract with Verificient Technologies Inc. takes precedence over any other policy or information published by the vendor.
Personal Information collected by Proctortrack is collected on behalf of the University of Toronto, pursuant to section 2(14) of the University of Toronto Act, 1971, for the purpose of confirming the identity of students taking assessments and monitoring and student behaviour to support the academic integrity of assessments.
The Contract defines different levels of service, including live proctoring as well as recording and automated analysis for subsequent review by a Proctortrack proctor and your instructor. Academic programs may choose from service levels available as appropriate for use for test-taking in courses. Proctortrack may not directly or indirectly use, collect, disclose or destroy any Personal Information for any purposes that are not authorized by the University as specified in the Contract.
Here are some key factors regarding the use of your personal information during proctoring:
- Proctortrack agrees that it will collect and store data including a student’s name, email address, and user ID when participating in a proctored exam.
- During proctoring, a student’s webcam and computer screen may be monitored, viewed, recorded, and/or audited. In this process the student and their immediate surroundings and anything else within range of their webcam or viewable on their computer screen may be monitored, viewed, recorded, and/or audited during the exam or assessment.
- It will also be necessary for Proctortrack to take and retain a scan of your face as the test taker and your identification card on file.
- During the exam process, Proctortrack will record you and may make notes regarding your recorded behavior, and store such recordings and notes, together with data that may include your name and email address.
- Recordings made in exams/evaluations will be stored for 365 days after exam date and will be available to designated staff, such as your instructor, at the University.
- Information collected through use of Proctortrack that is subject to academic integrity processes will be retained in line with existing University retention schedules specified by the Office of the Provost.
- If academic integrity concerns are flagged, the flagged videos and log files are available to assess and address those academic integrity concerns.
- ProctorTrack will delete test taking recordings and related log files after 365 days have passed.
Student concerns related to the use of data collected by Proctortrack as evidence in a suspected academic integrity case will be addressed via the detailed process outlined in the Code of Behaviour on Academic Matters. See Process and Procedures.
For your further information:
- When asked to provide an identity document, you may show your T-Card rather than government-issued identification, unless you cannot find your T-Card.
- Please do consider preparing the background (room / walls) so that personal details you would not want visible are removed or move to a room that you are comfortable showing on camera.
- It is recommended that students using Proctortrack services remove the Proctortrack browser after completion of the exam.
- Your account profile data passed to the platform through Quercus, including onboarding face and ID scans taken by the platform will also be deleted after 365 days.
